Is RennX Care HIPAA compliant?
RennX Care is a CRM, automation, and admin replacement system — not a medical records or clinical documentation platform. Home care agency contacts, intake forms, and communication logs fall under general business data, not Protected Health Information (PHI) as defined by HIPAA. That said, we take data security seriously: all data is encrypted in transit and at rest, access is role-based, and we do not share client data with third parties. If your agency handles clinical nursing documentation or skilled care records, you should continue using a dedicated EHR for those specific records. For the 95% of your daily operations — lead tracking, caregiver recruitment, intake forms, scheduling coordination, and follow-ups — RennX Care is the system.
Where is my agency's data stored? Is it secure?

Great question — and an important one to be clear about. RennX Care is not a replacement for full scheduling platforms like WellSky or ClearCare. Those tools are built specifically for shift management, EVV (Electronic Visit Verification), and billing compliance. RennX Care is everything that comes before and around those tools: attracting new clients, capturing leads, converting inquiries to signed agreements, recruiting and onboarding caregivers faster, and automating admin so your team isn't buried in manual work. Think of it this way: WellSky runs your shifts. RennX Care runs your business. Many agencies use both — RennX Care fills the gap that scheduling software was never designed to solve.
We already have a scheduling platform. Do we have to replace it?
No — and we don't recommend it. RennX Care works alongside your existing scheduling software. If you're already on WellSky, Alayacare, or another platform, RennX Care handles everything upstream (lead generation, intake, caregiver recruitment, document collection, client onboarding) and can notify your team when a new client or caregiver is ready to be entered into your scheduling system. We integrate via workflow automations and notifications so the handoff is seamless.
How long does setup take? We can't afford weeks of downtime.
Most agencies are fully live within 7–14 business days. Here's how that breaks down: Days 1–3 we complete your strategy intake and map your existing workflows. Days 4–7 we build your pipelines, automations, and forms. Days 8–10 we conduct a live walkthrough and team training. Days 11–14 we run a parallel test phase and fine-tune everything before going fully live. You don't lose any existing systems during this period — we build in parallel, so your current operations continue uninterrupted. Our goal is zero downtime and a smooth transition.
Do I need to be tech-savvy to use it?
Not at all. RennX Care is built for busy agency owners — not tech teams. The interface is clean and intuitive, and everything is pre-configured for your agency's workflows during setup. We also provide live onboarding training for you and your staff, a video library you can reference anytime, and ongoing support from our team. Most owners are running their dashboard independently within the first week. If something breaks or you have questions, we're one message away.
What happens if we need changes after setup?
Your monthly retainer includes ongoing support, workflow adjustments, and system updates. As your agency grows — new staff, new service areas, new compliance requirements — we update your system with you. You're not locked into a static setup. We also proactively review your automations quarterly to make sure they're still aligned with how your business operates. Agencies that cancel before 90 days simply haven't seen what the system can do yet. After 3 months, you're free to continue or cancel with 30 days notice. No hidden fees, no lock-in beyond that.
